The Office of Clinical Contract Services is seeking an Administrative Assistant to the Executive to support the Vice President and other managers within the department.
The following statements are intended to describe, in broad terms, the general functions and responsibility levels characteristic of positions assigned to this classification. Under limited supervision, provides operational coordination and administrative support to Executive of the UNM Medical Group, Inc. May independently administer a defined program initiative or service operation for the office.
Duties and Responsibilities
Oversees and administers the day-to-day activities of the administration office; develops policies, procedures, and systems which ensure productive and efficient office operation.
Provides assistance and support to the office principal in problem solving, project planning and management, and development and execution of stated goals and objectives.
Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues.
Organizes and facilitates meetings, conferences, and other special events, as required.
Schedules multiple meetings for the Executive and other Senior staff as required; takes notes, writes and distributes accurate minutes in a timely fashion.
May oversee and administer the day-to-day activities of one or more specialized program initiatives for the unit, as assigned.
Provides and/or oversees provision of staff support to the office, to include handling walk-up and phone interactions, maintaining calendars and travel arrangements, screening, analyzing, and responding to incoming correspondence, handling day-to-day problems and situations, and provision of secretarial support.
Assists in the coordination, supervision, and completion of special projects, as appropriate.
May provide backup to the Human Resources Department.
Performs miscellaneous job-related duties as assigned.
Minimum Job Requirements
Successful completion of 60 college-level credit hours and 5 years of directly related experience. Verification of education and licensure (if applicable) will be required if selected for hire.

Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.
Strong interpersonal, written and verbal communication skills.
Ability to multi-task and coordinate multiple projects.
Ability to work effectively with a wide range of constituencies in a diverse community.
Skill in the use of database management, word processing, spreadsheet, and/or presentation software.
Demonstrated ability to maintain confidentiality.
Ability to gather data, compile information, and prepare reports.
Strong organizational and coordination skills
Advanced skill in Microsoft Office 2007 software products (Word, Excel, PowerPoint, Publisher) and Adobe Software.
Conditions of Employment
A valid New Mexico Driver's License, or ability to obtain a valid NM Driver's License within six months of hire, is required for this job.
Ability to travel between offices and clinics.
Must be employment eligible as verified by the U.S. Dept. of Health and Human Services Office of Inspector General (OIG) and the Government Services Administration (GSA).
Must pass a pre-employment criminal background check.
Fingerprinting, and subsequent clearance, is required.
Must provide proof of varicella & MMR immunity or obtain vaccinations within 90 days of employment.
Must obtain annual influenza vaccination.
If this position is assigned to a clinical area, successful candidate will be required to complete a pre-placement medical evaluation/health screen. Required N-95 mask fitting, testing, vaccinations to include annual TST, Tdap, and Hepatitis B will be determined based on location and nature of position.
Working Conditions and Physical Effort
Work is normally performed in a typical interior/office work environment.
No or very limited physical effort required.
