Position Summary

The Division of Gastroenterology and Hepatology, within the Department of Internal Medicine, is seeking an Administrative Assistant 2. This position will provided day-to-day administrative support. Selected candidate will directly report to the Unit Administrator and assist with fiscal administration, provide administrative assistance for Gastroenterology Faculty and Fellows and special projects; travel plans and financial reimbursements; scheduling meetings, and various activities of the Gastroenterology Division.

Conditions of Employment
  • This position is represented by a labor union and is subject to the terms and conditions of the USUNM Collective Bargaining Agreement.
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Current P-Card holder and experience with Banner and Chrome River. Ability to review accounting transactions for accuracy, correct errors, assist on controlling costs, policies, and understanding financial data.
  • Experience regarding UNM financial procedures and policies such as how to execute purchases, reimbursements including travel, direct pay invoices, JV’s, memo’s, etc.
  • Experience providing and overseeing support activities for the unit such as answering telephones, assisting and resolving problems and inquiries of visitors, review and control of incoming and outgoing correspondence, and follow-up on operational commitments.
  • Experience scheduling appointments and maintaining calendars; schedules, coordinating and facilitating meetings, facilities usage, events, and travel arrangements.
  • Experience establishing, updating, and maintaining unit's files, inventories, and records; implementing and maintaining data management systems.
