Job Description

This position is responsible for addressing the day-to-day administrative and support needs of the department heads for Human Resources and IT.  In this capacity, responsibilities may include screening calls, managing calendars, making travel, meeting and event arrangements, tracking office space assignments, helping to create presentations and reports, and other general administrative tasks. Requires strong computer skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, outside clients and vendors. Sensitivity to confidential matters is required.
  • Supports CIO and VP of HR, manages and maintains calendars, arranges meetings, coordinate interviews, monitors and manages correspondence, and day to day administrative support   
  • Prepares business correspondence and presentations, typically using Microsoft Office suite        
  • Create UPM Corporate departmental org charts and update periodically  
  • Serve as back-up to Office Administrator, as needed           
  • Concur expense reporting     
  • Other duties as assigned

Position Requirements:

  • Minimum of 5 years’ experience providing support at the executive level
  • Must be self-directed and able to complete projects with limited supervision
  • Strong verbal and written communication skills
  • Experience effectively planning and organizing work, managing multiple tasks
  • Experience with Microsoft Office Suite and standard office equipment
  • Ability to maintain confidentiality
  • Strong work ethic with sense of urgency
  • Demonstrates a resourceful approach to problem solving
