The Legal Coordinator is a critical role for the overall efficiency, customer service, and operations of the in-house legal department. The Legal Coordinator has primary responsibility for providing administrative support and communication triage support to PHS Staff Attorneys, the Legal Executive Assistant, Legal Contracts, and reports to the Associate General Counsel - Employment. This role is entrusted with a high level of responsibility for maintaining confidential, sensitive, and privileged information. This role requires adaptability, flexibility, dependability and accountability; a high level of professionalism, attention to detail, and independent judgment. Strong analytical, interpersonal and organizational skills; multitask and work collaboratively with others and independently in order to accomplish goals.


* Triage phone calls and provide appropriate guidance and further direction, including redirection to other PHS departments such as Risk, Patient Complaints, Media, or counsel.

*Manages attorney call calendar and legal department master calendar

*Creates new matters in Legal Tracker and provides back-up administration for Legal Tracker.

*Provides back-up and support for CT Corp (service of process for lawsuits and subpoenas, corporate filings).

*Train and instruct PHS Enterprise staff on usage of the on-line Contract Request Process and the Contract Database Library System and provide information on contract status.

*Coordinate contract documents through appropriate signature authority and to the vendor for execution.

*Data entry and file management of all PHS contracts into the Contract Database Library System.

*Oversee the operations of Contract Database Library System including trouble shooting problems reported by PHS staff, loading/updating contracted document in the system as needed.

*Develop and maintain positive and external customer relationships by coordinating with other departments or function areas to resolve customer problems when necessary. Ensure quality, integrity and timeliness of the departmental reports.

*Continuously identify methods for automating office processes and improving department efficiency. Provide administrative support as needed to PHS General Counsel and Legal Team.

*Perform clerical duties related to the production of documents in response to Subpoenas, assisting with the organization of materials for attorney practice, and support preparation of presentation slides and handouts for training conducted by in-house counsel

* Assist with other legal department needs as necessary, including updating corporate filings, departmental organizational charts, and administrative support as needed to PHS General Counsel and Legal Team.

*Work rapidly and accurately under pressure with attention to detail.

*Establish and maintain effective communications and presentation skills for all levels of the company, employees, patient and families, physicians, attorneys, insurance professionals, and people in all aspects of the community and business affiliations.


* High School Diploma or GED

* 5 years experience in legal administrative or paralegal work at a legal office.

*Must be proficient in Microsoft Office; ability to compile reports, graphs, letters, memos, meeting minutes other related legal


*Requires excellent organizational and interpersonal skills.

*Ability to deal with all levels of staff and management within the organization as well as the public under sometimes stressful conditions.
