Job Summary (Essential Functions)

The Executive Office Administrator - BI provides administrative support to the Senior VP of Business Intelligence and Revenue while managing the day-to-day administrative coordination of Peak Vista’s Business Intelligence and Revenue Leadership Team. The Execute Office Administrator – BI is expected to approach their work proactively, have a willingness to work independently and on teams, and must be able to operate well under pressure. Due to the executive level administrative and clerical functions associated with this job, a thorough understanding of word processing, spreadsheet manipulation, memorandum development and processing, minute taking, and exceptional interpersonal communication skills are all essential functions of this role. Additionally, it is understood that the Execute Office Administrator – BI is expected to maintain the confidentiality of all information, physical and electronic documentation, conversations, etc. obtained or observed in this role. The Execute Office Administrator – BI performs additional duties including RAE contract support, project management and executive travel arrangement. The Execute Office Administrator – BI trains other Revenue Cycle Coordinator staff, and contributes to their evaluation and coaching.

  • This position handles a wide range of administrative and executive support related tasks, including, but not limited to:
  • Senior VP of BI and Revenue email & calendar management including:
    • Meeting coordination and travel arrangements
    • Plans, coordinates, and assures that the Senior VP of BI and Revenue’s schedule has detailed information regarding each appointment (to include purpose of meeting, meeting attendees, meeting materials/ presentations, meeting location and travel directions.)
    • Prioritizes the Senior VP of BI and Revenue schedule based on need / as directed.
    • Prioritizes conflicting needs and tasks proactively, expeditiously, and ensures follow through on projects until successful completion, often with even when facing deadline pressures.
    • Coordinates, monitors, and communicates appropriately regarding all assigned tasks and projects.
  • Obtains, compiles and distributes reports to management (to include reoccurring and as requested reports) in a timely and accurate manner.
  • Coordinates and monitors assigned projects and responsible parties to assure timely completion.
  • Manages the Senior VP of BI and Revenue’s communications with the department heads while maintaining sensitivity and confidentiality to organizational priorities.
  • Coordinates efforts regarding data and other contract issues with Health First Colorado’s RAEs, regarding data and other contract questions
  • Facilitates the sharing of information from the RAEs to Peak Vista staff
  • Provides data warehouse support, to including managing report catalogs, data definitions and the data warehouse data dictionaries
  • Remains competent with EPM and EHR functions, and uses that knowledge to make process improvement recommendations
  • Facilitates PI/QI activities utilizing FOCUS/PDSA & AAAHC benchmarking for Revenue Cycle Departments, including Rapid Performance Improvement
  • Helps develop processes and procedures to optimize usage of practice management, electronic health record management, risk analytics, and/or data warehouse software.
  • Standardization of process, via training and training documentation, with follow-up reporting and corrective actions to leadership.
  • Provides training on the risk analytics and data warehouse software platforms to Peak Vista staff and other identified community members.
  • Trains other Revenue Cycle Coordinator staff, and contributes to their evaluation and coaching.
  • Provides training on Smartsheet and other organizational tools
  • Prepares meeting agendas, attends and take minutes at various meetings as assigned.
  • Tracks agenda and important items across multiple groups to ensure reoccurring or returning when appropriate, or prior items can otherwise be answered/explained in more detail.
  • Interacts with staff in a fast-paced environment with specific deadlines remaining flexible, proactive, resourceful and efficient.
  • Performs specific/timely project management activities for and on behalf of the Senior VP of BI and Revenue
  • Provides other support and assistance as necessary to increase office efficiency and productivity.
  • Relays information and messages in a timely fashion to ensure open channels of communication between Senior VP of BI and Revenue and direct reports.
  • Ability to understand basic financial management, ordering, and budgetary considerations.
  • Able to effectively communicate with executive level leadership staff and outside agencies


Education: High School graduate, GED equivalency required.
Work Experience:

Minimum of 3-5 years of administrative experience required, to include one year within BI and the Revenue Cycle or other Peak Vista administrative positions. Bachelor’s Degree in lieu of work experience, allowed
