Leads and supervises personnel in the Division of Environmental & Occupational Health Sciences scheduling unit. Directs and implements daily scheduling operations, including serving as a liaison for the Division with other departments across NJH and external clients seeking occupational medicine services.
1. Manages and develops an effective staff: providing effective communication, leadership, guidance and resources. Determines staff qualifications and competency: recruits, interviews, selects, hires, trains, orients, mentors, evaluates, coaches, counsels, disciplines, and rewards. Establishes and monitors staff safety and regulatory compliance.
2. Develops, arranges, implements staff schedules for maximum efficiency. Serves as a backup for scheduling coverage. Assesses and adjusts staffing as necessary and communicates needs to the manager and clinical leadership in a timely manner.
3. Directly responsible for coordination of all clinical, research and contract patients in the occupational medicine clinic, to include interaction with the NJH Scheduling, Call Center, Lung Line Patient, Business Office, Utilization Management and Occupational Medicine Clinic and business units. Provides support and information regarding occupational medicine scheduling procedures and policies to other groups in National Jewish Health.
4. Accountable for managing new and follow-up patients and directs the use of the lists to manage timely access to care for patients. Ensures prioritization of waiting patients as schedules are made available. Monitors process to maximize physician schedules. Reports on activities while communicating patient needs to manager and clinical leadership.
5. Responsible for solving scheduling issues with physicians, manager and divisional leadership. Reviews clinic schedules and manages physician schedules to ensure that schedules are full and accurate. Develops and coordinates solutions with manager, physicians and divisional leadership.
6. Serves as point of contact for patient satisfaction or complaints. Guides staff in the resolution of patient complaints and problems related to scheduling issues.
7. Develops, implements and updates scheduling policies, procedures, and telephone protocols related to scheduling. Facilitates implementation and use of the institution’s computer systems relevant to scheduling unit. Trains and updates scheduling unit on scheduling protocols and procedures. Maintains up-to-date scheduling procedures manuals. Prepares scheduling statistics and other required reports for clinical leadership, physicians, and manager.
8. Acts as a liaison to external customers including federal agencies (e.g., DOL, DOE, and DOJ) physicians, attorneys and others seeking occupational medicine scheduling, particularly for special programs.
9. Maintains knowledge about NJH clinical operations, insurance procedures, and clinical terminology. Maintains appropriate level of expertise with the Registration systems, Scheduling system, and Electronic Medical Record system and communicates changes as they affect scheduling in a timely manner.

Supervisory or Managerial Responsibility
Supervises 2-5 employees
1. Be available to work as scheduled and report to work on time.

4. Be in compliance with all departmental and institutional policies, the Employee Handbook, Code of Conduct and completes NetLearning by due date annually.

Bachelor’s Degree in Business, Health Care Administration or related field required.
A minimum of 3 years of lead or supervisory experience in a healthcare setting required.
