This individual reports to the Office Manager and is responsible for providing administrative support to executive staff in an effective and efficient manner.
Duties and Responsibilities:
oProvide administrative and project support to multiple executives.
oAnswer all incoming calls and greet guests with a positive and professional demeanor.
oMaintain appropriate interpersonal relationships with employees, peers, intercompany and external vendors/clients.
oManage executives’ calendars, including proactive communication and resolution to conflicts without disruption to executives’ workflow.
oAnticipate meeting and conference call requirements and execute all meeting arrangements including, attendee invitation/confirmation, AV needs, catering, and registration when applicable.
oAnticipate and prepare all travel and related accommodations for domestic and international travel.
oPrepare, manage and analyze spreadsheets and reports.
oManage company project files.
oManage incoming and prepare outgoing (domestic and international) mail/packages per the FLTM.
oUpdate and maintain executive contacts.
oManage travel plans for executives, including flights and hotels.
oBilingual - English/Spanish is highly preferred
oDemonstrated written and oral communication skills.
oExercise sound judgment in decision-making.
oHigh degree of professionalism and discretion dealing with confidential information.
oMust be organized and detailed oriented.
oExercise follow-through consistently.
oDemonstrated ability to take proactive measures with regard to projects.
oDemonstrated ability to take initiative with problem solving.
oMinimum two years clerical or administrative experience.
oStrong command of Microsoft Office software (Word, Excel, PowerPoint).
