Work Location: CPLC Annex 1046 E. Buckeye Rd. Phoenix, AZ 85034

 


PRIMARY FUNCTIONS

 

This position is part of a team of event marketing coordinators who
plan and execute events, including fundraisers, picnics, concerts, etc., for
CPLC and its subsidiaries. This includes operational, implementation, and post
event activities, as well as sales.
 

 

 

Detailed activities include:  

 
     
  • Expanding and diversifying CPLC’s donor base/pipleline and working
    with other team members to secure funding
  •  
  • Securing financial support from individuals, foundations, and
    corporations
  •  
  • Utilizing appropriate
    tools to track and report on meeting logistics and results as needed
  •  
  • Communicating and corresponding with
    both internal and external business partners
  •  
  • Maintaining database, including registering attendees
  •  
  • Coordinating, managing, and negotiating meetings and workshops from
    pre-event planning through post-event evaluation; including, but not limited
    to, catering, room blocks, meeting rooms, reserving projectors, security,
    permits, and a/v requirements
  •  
  • Coordinating content and program development of online
    registration, website, invitations, and other collateral ensuring materials are
    professional and appropriately reflect brand standards
  •  
  • Working closely with internal business units to meet the goals and
    objectives of each meeting and event
  •  
  • Partnering with remote offices to help plan, budget, and execute
    meetings and events
  •  
  • Ensuring each event supports the overall goals of the company
  •  
  • Producing special projects and initiatives that are critical to
    executive leadership
  •  
  • Maintaining an up-to-date knowledge of the event industry, as well
    as a thorough awareness of the event industry’s top vendors, planners, and
    event professionals
  •  
  • Attending networking events, tradeshows and client events as
    necessary
  •

MINIMUM QUALIFICATIONS 

 

Must have a Bachelors Degree in
Marketing or a related field or be working toward a Bachelors Degree in
Marketing and have at least one year of event marketing/planning experience or
any combination of education, training or experience that provide the required knowledge and abilities necessary to
successfully perform the tasks required of the position, which include:
 

 
     
  • Experience successfully producing special events
  •  
  • Expertise in all stages of the event management process, with
    extensive knowledge ranging from the initial site selection through contract
    negotiation to the creation and on-site implementation of event production
    schedules and timelines
  •  
  • Excellent written, oral, and interpersonal communication and
    customer service skills
  •  
  • Demonstrated ability to work well both individually and in a team
    environment successfully
  •  
  • Strong attention to detail and ability to maintain accurate
    records
  •  
  • Demonstrated computer literacy using MS Word and Excel
  •  
  • Demonstrated flexibility, reliability, and the ability to work
    extremely well under pressure
  •  
  • Comfort with troubleshooting and demonstrated ability for quick
    problem solving
  •  
  • Flexibility and willingness to work long hours, nights, weekends,
    and some overnights

  • Ability to produce multiple internal and external events simultaneously

JOB RESPONSIBILITIES AND COMPETENCIES 

 
     
  • Plan, in conjunction, with the Manager of Event Marketing and
    other appropriate staff, all special events/projects.
  •  
  • Establish a Project Task and Timeline Schedule for all special
    events/projects.
  •  
  • Prepare special event/project budget, indicating projected
    expenses and revenues.
  •  
  • Identify and secure financial resources and in-kind contributions
    necessary to the success of all special events/special projects.
  •  
  • Maintain positive relationships with established financial and
    in-kind contributors.
  •  
  • Identify and secure volunteers appropriate to each special
    even/project.
  •  
  • Work with Marketing & Communications staff to create fliers,
    brochures, invitations, and other marketing materials, as required by each of
    the special events/projects.
  •  
  • Coordinate all special event/project media requirements with the Manager
    of Media & Public Relations

ACCOUNTABILITY 

 

Reports to and is
supervised directly by the Manager of Event Marketing. Employee is also
