    POSITION DESCRIPTION: Administrative Assistant I- School Site

    Grade: K
    Work Calendar: 12-month
    Hours per Day: 8

    I. General Description:

    To perform a wide variety of clerical and secretarial duties and to maintain good public relations with students, parents, staff and the general public.

    II. Qualifications:
    1. Must possess high school diploma or equivalent, supplemented by appropriate business courses.
    2. Must possess expert skills in secretarial techniques, and keep abreast of current trends in correspondence, word usage, and punctuation.
    3. Must complete a series of secretarial tests with a high degree of proficiency.
    4. Must possess a thorough knowledge in the use of office machines, and personal computers.
    5. Must possess the ability to use or learn to use student information system software.
    6. Must possess a minimum of three years secretarial experience, preferably working in a school district setting.
    7. Must possess ability to learn and use student information system, and other programs as required.
    8. Must possess a loyalty to the school district and its philosophy.
    9. Must be organized and able to work independently.
    10. Must possess an ability to deal effectively with matters of confidentiality.
    11. Must possess a pleasant personality and telephone manner.
    12. Must possess an ability to work cooperatively with the general public.

    III. Duties and Responsibilities:
    1. Maintains punctual and regular attendance.
    2. Helps process all discipline referrals, correspondence and other needed documents.
    3. Assists with purchase order requests.
    4. Receives visitors, answers and screens telephone calls and provides information as appropriate, and explains general school policies and procedures in a pleasant and welcoming manner.
    5. Handles a variety of correspondence, reports, and other materials for the Assistant Principal’s office pertaining to parents, students, and staff.
    6. Maintains confidentiality of information.
      1. Maintains appropriate files as required.
      2. Assists with maintenance of Assistant Principal’s calendar and assists in scheduling appointments and meetings.
      3. Performs a variety of clerical duties in providing assistance for administrators, staff members, teachers, and students.
      4. Assists students as directed with medication when nurse is out of office.
      5. Orders necessary supplies.
      6. Prepares a variety of fiscal and statistical reports as requested.
      7. Maintains and distributes teaching supplies to teachers and staff, as needed.
      8. Assists with data collection, organization and presentation.

      9. III. Duties and Responsibilities (continued):
        1. Prepares a variety of statistical discipline reports as needed.
        2. Processes and mails suspension letters.
        3. Prepares materials and documents necessary for attendance and suspension hearings.
        4. Relieves and assists in other office areas as needed.
        5. Makes general public address announcements as needed.
        6. Maintains confidentiality of information regarding students, staff, parents and school issues.
        7. Provides a welcoming atmosphere for students, staff, parents and community.
        8. Performs responsibilities in an ethical and professional manner.
        9. Performs other related duties as assigned.
